How do I send a fax with FaxMonkey?

Sending a fax is easy:

  1. Upload your document (PDF, Word, image)
  2. Enter the recipient's fax number
  3. Select the destination country
  4. Check the preview
  5. Enter your email address for the transmission report
  6. Pay securely via Stripe

After successful payment, your fax will be sent immediately and you will receive a confirmation by email.

Do I need an account to send a fax?

No, with FaxMonkey you can fax without registration. You only provide your email address so we can send you the transmission report. No account will be created.

How long does it take for my fax to arrive?

Usually your fax is delivered within 1 to 5 minutes. The exact time depends on how quickly the recipient's fax machine can be reached. If there are issues, for example a busy line, we will retry automatically several times.

Which countries can I send faxes to?

FaxMonkey supports faxing to over 50 countries worldwide, including the United States, the United Kingdom, Germany, France, Spain, Italy and many more. You can find the full list on our pricing page.

Which documents you can send and how to achieve the best quality.

Which file formats are supported?

FaxMonkey accepts the following formats:

  • PDF - recommended for best quality
  • Word (.doc, .docx)
  • Images (.jpg, .jpeg, .png, .gif, .tiff)

We recommend PDF for the best fax quality, as this format is sent exactly as you see it.

How large can my file be?

The maximum file size is 20 MB. For optimal results, we recommend documents under 5 MB. Large image files are compressed automatically.

How many pages can a fax have?

There is no page limit. You can send as many pages as you like. Pricing is per page - the first page at a fixed price, each additional page cheaper.

How can I improve fax quality?

For best results:

  • Use PDF instead of image files
  • Use black text on a white background
  • Use a clearly legible font size (at least 10 pt)
  • Avoid colour photos - they are converted to greyscale
  • Scan physical documents at a minimum of 200 DPI

Fax number and recipient

How to enter the fax number correctly and reach your recipient.

How do I enter the fax number correctly?

Enter the fax number without spaces or hyphens. Select the country code separately.

Examples for Germany (+49):

  • Berlin: 30123456 (without leading 0)
  • Munich: 89123456

Important: Omit the leading 0 from the area code.

Can I fax to mobile numbers?

No, faxes can only be sent to landline fax numbers. Mobile numbers cannot receive faxes. If you are unsure whether the number is a fax line, please check with the recipient.

What does the error 'Number unreachable' mean?

This error can have various causes:

  • The number is not a fax number (e.g. telephone or mobile)
  • The recipient's fax machine is switched off or faulty
  • The line is permanently busy
  • The fax number is no longer active

Can I send multiple faxes at the same time?

Currently, you can send one fax per submission. If you wish to send multiple documents to the same recipient, you can combine them into a single PDF file before uploading.

Pricing and payment

How much does a fax cost?

The first page costs NZ$1.80, each additional page only NZ$0.45. There are no base fees, no subscriptions and no hidden charges, the same price worldwide.

Which payment methods are accepted?

We accept all common payment methods. Payment is processed securely via Stripe, a leading payment provider.

Will I receive an invoice?

Yes, after successful payment you will receive a payment confirmation by email that includes all relevant details for your accounting (amount, date, transaction ID). You can use this as a receipt.

What happens if my fax is not delivered?

If delivery fails for technical reasons on our side, you will receive a refund in accordance with our Terms and Conditions. You will be notified by email. The refund will be issued by us directly via Stripe.

Confirmation and delivery

Transmission report, delivery status and what happens after sending.

How do I know that my fax has arrived?

You will receive an email with the transmission report after delivery. It contains the delivery status, the date and time of delivery, and the number of pages transmitted. If delivery is successful, you will see the status "Delivered".

What is a transmission report?

The transmission report is an official document that records the fax transmission. It contains sender, recipient, date/time, number of pages and delivery status. In many cases it is accepted as proof of delivery (for example for cancellations).

How long is my fax retained?

Your documents are deleted immediately after successful delivery. We do not store fax contents longer than necessary for transmission. If delivery fails, documents are deleted automatically after 24 hours.

Can I track the status of my fax?

Yes, you will receive email updates on the status of your fax. The possible statuses are: "In progress" (fax is being sent), "Delivered" (delivered successfully), or "Failed" (with reason and automatic refund).

Problems and solutions

My document will not upload. What can I do?

Please check the following:

  • Is the file in the correct format? (PDF, Word, JPG, PNG)
  • Is the file smaller than 20 MB?
  • Is the file possibly corrupted? Try creating it again.
  • Are you using a modern browser? (Chrome, Firefox, Safari, Edge)

The fax was marked as 'failed'. What now?

If delivery fails for technical reasons on our side, you will receive a refund in accordance with our Terms and Conditions. The most common reasons for failures are: incorrect fax number, recipient fax machine not reachable, or technical issues at the recipient. Please check the number and try again.

The preview looks different from my document. Is that normal?

The preview shows how your document will look as a black-and-white fax. Colours are converted to greyscale, which is normal. Check that the text is readable - that is the most important thing. Documents with lots of colour may look different from the original.

I have not received a confirmation email. What should I do?

Please check:

  • Your spam/junk folder
  • Whether you entered the correct email address
  • Wait a few minutes - emails can sometimes be delayed

Security and privacy

How we protect your data and documents.

Is FaxMonkey secure?

Yes, security is our top priority:

  • SSL encryption for all data transmissions
  • Secure payment via Stripe (PCI DSS certified)
  • Automatic deletion of documents after sending

Are my documents stored?

Your documents are only stored for as long as is necessary to transmit the fax. After successful delivery, they are deleted automatically. If delivery fails, deletion takes place after 24 hours. We do not read or analyse your documents.

Who has access to my fax documents?

No one. Your documents are transmitted in encrypted form and processed automatically only. Our staff do not have access to your fax contents. Only you and the recipient can see the document.

Is online fax GDPR-compliant?

Yes, FaxMonkey processes your data solely to provide the fax service and deletes it after fulfilling the order. All transmissions are SSL-encrypted. For details, please see our Privacy Policy.

Legal

Legal certainty, proof and formal validity of online faxes.

Is an online fax legally valid?

Yes, a fax sent via FaxMonkey has the same legal effect as a conventional fax. The transmission report serves as proof of delivery. This is particularly important for cancellations, deadlines and official documents.

Does the transmission report count as proof of delivery?

The transmission report documents that the fax was successfully transmitted to the recipient device. In case law, this is generally accepted as prima facie evidence of receipt. For particularly important documents, we also recommend registered post.

Can I send my cancellation via FaxMonkey?

Yes, many contracts (e.g. mobile, gym, insurance) can be cancelled by fax. Check your contract terms to see whether fax is accepted as a cancellation method. The transmission report serves as proof of timely cancellation.
